The Logistics Guide: Why Your Trucking Business Needs a Custom Bill of Lading (BOL)
If you operate a trucking, moving, or freight logistics business in Canada, the Bill of Lading (BOL) is the most important document in your cab. It is more than just a receipt; it is a legally binding contract between the shipper, the carrier, and the receiver.
Using a generic, off-the-shelf BOL pad might seem cheap, but it leaves your business vulnerable to freight disputes and delayed payments. At NCR Print Canada, we print thousands of custom carbonless BOLs every year. Here is what you must include to protect your logistics business.
1. Detailed Shipper and Receiver Information
This seems obvious, but accuracy is everything. Your BOL must have clearly defined boxes for:

Shipper (Consignor): Full name, address, and contact number.

Receiver (Consignee): Delivery address and specific drop-off instructions.

2. Comprehensive Freight Description
If a box goes missing or is damaged, this section is your only defense. Ensure your custom NCR form has enough rows and columns to detail:

Quantity (Number of pallets, boxes, or crates).

Weight and dimensions.

Description of the goods (e.g., "Fragile Electronics" vs. "Steel Pipes").

Hazardous material warnings (if applicable).
3. Carrier Liability and Terms & Conditions
This is where custom printing saves you money. Instead of writing your terms out every time or hoping the client understands standard trucking laws, have your Terms and Conditions printed directly on the back of the form, or clearly summarized at the bottom.
Make sure to include clauses about delay limits, damage claim windows, and payment terms.
4. Why 3-Part or 4-Part NCR is the Industry Standard
In logistics, multiple people need a copy of the same document instantly. You cannot rely on a 2-part form. A standard freight transaction requires at least a 3-Part NCR Form:

White (Top Copy): Stays with the Shipper (for their records).

Yellow (Middle Copy): Goes to the Receiver upon delivery.

Pink (Bottom Copy): Kept by the Driver/Carrier as proof of delivery to get paid.

5. Sequential Numbering (Crucial for Tracking)
Never print a Bill of Lading without a sequential number. When a client calls asking about "Order #4092," you need to be able to find it in your system immediately. We highly recommend adding red sequential numbering to your custom BOL forms for easy auditing and tracking.
